Overview
Cactus Blossom Financial LLC ("Cactus Blossom," "we," "us") operates an internal data-integration tool ("ClientFlow") used solely by our own bookkeeping staff to consolidate and manage the financial records of clients we serve. This policy explains what data the tool accesses, how we store and protect it, and how we handle it. ClientFlow is not a public or consumer-facing application; it is used internally to deliver bookkeeping services to our clients.
Information We Access
Through authorized, client-approved connections to third-party services — including Intuit QuickBooks Online, DoubleHQ, and GoHighLevel — ClientFlow accesses business financial and contact records, which may include:
- Customer and contact records (names, email addresses, phone numbers)
- Invoices, payments, balances, and related transaction data
- Practice-management records (tasks, engagement status, period closes)
We access this data only for QuickBooks companies and accounts that the client has explicitly authorized us to access in our role as their bookkeeper.
How We Use the Information
We use the accessed data exclusively to:
- Perform bookkeeping, accounting, and financial-reporting services for our clients
- Consolidate records across systems for internal review and reconciliation
- Maintain accurate, auditable financial record
We do not sell, rent, or share this data with third parties for marketing or any unrelated purpose.
How We Store and Protect the Information
- Data is stored on infrastructure controlled by Cactus Blossom, not on public cloud databases.
- The database and raw data archive are held in an encrypted-at-rest volume (LUKS encryption).
- Access credentials and API tokens are stored in an encrypted credential store, never in plain text.
- The system is restricted to internal network access only and is not exposed to the public internet.
- Access is limited to authorized Cactus Blossom personnel.
Data Retention and Deletion
We retain client financial data only as long as necessary to provide our services or as required by law and professional record-keeping obligations. When a client relationship ends or a client disconnects an authorized account, we remove the associated data from active systems upon request.
Third-Party Services
ClientFlow connects to third-party platforms (Intuit QuickBooks Online, DoubleHQ, GoHighLevel) under each provider's terms. Data accessed from those platforms remains subject to their respective privacy practices, and our use complies with those providers' developer requirements.
Your Choices
Clients may revoke ClientFlow's access to their connected accounts at any time through the relevant provider (for example, by disconnecting our app in their QuickBooks settings) or by contacting us directly.
